BOOKINGS AND CANCELLATIONS
- To place a booking please complete the attached form, until a completed booking form, signed terms and conditions and deposit have been received the booking will only be classed as provisional.
- Provisional bookings will be held for a maximum of 4 weeks unless another term has been agreed.
- A refundable security deposit of £100 is payable on all bookings, this will be refunded no sooner than 48 hours after the event.
- A £30 deposit will secure the booking and payment in full must be made one week before the date of the event. See price list for room hire costings.
- Any hirer must be at least 18 years old or over.
ADDITIONAL CHARGES
- A cleaning and caretaking charge of £30 is applicable to every booking, this covers cleaning and take down of the hall, foyer and toilets. This does not include the kitchen or packing away items or food left by the hirer.
- Doormen can be provided on request at a charge of £16.75 each per hour, minimum of 2 to be hired.
- Cancellation charges are as follows
Up to 28 days – deposit only
28 – 14 days – 50% of room hire
14 days or less – 100% of room hire - The hirer is responsible for loss or damage to any parts of the property or contents, we reserve the right to bill you for any intensive cleaning or any damage to the property caused during your event
- Dawley Town Hall reserves the right to cancel any booking if the holding of the event is prevented by circumstances beyond their control. Dawley Town Hall do not accept liability for losses incurred due to cancellation.
BAR
- A fully licensed bar is available if required.
- The hirer or guests are under no circumstances permitted to consume alcohol on the premises that has not been purchased at Dawley Town Hall. If any unauthorised alcohol is found being consumed by the hirer or any guests, we reserve the right to confiscate the alcohol and or terminate the event.
- If the hirer wishes to provide alcohol for any function this must be pre- agreed in writing and will be subject to a corkage charge.
CATERING
- There is a fully fitted catering kitchen at the Town Hall, this is available for use during your event providing the kitchen is left clean and tidy and without any damages, this is the responsibility of the hirer even if outside caterers are being used.
- Dawley Town Hall accept no liability for any food or refreshments provided by the hirer or the hirers caterers.
- The kitchen is not to be used for storage of anything other than food and strictly no alcohol allowed.
- No alcohol to be consumed on the premises that has not been provided by the internal bar and no alcoholic beverages to be taken outside.
- Any outside catering companies need to provide contact details and relevant food hygiene certificates.
SOCIAL EVENT FACILITIES
- Entertainment equipment may be used within the Town Hall from external company’s subject to a discussion with the Assets and Facilities Officer. Any electrical equipment must be PAT tested and where applicable insurance documents must be provided.
MEETINGS – BUSINESS OR OTHERWISE
- The projector and screen is available for use, this can be connected to the user’s laptop, basic training to be provided prior to the meeting.
- Please do not attach any items to the wall and fixings, this includes anything being stuck, nailed, screwed or stapled.
DECORATIONS
- Hirer’s are permitted to decorate the venue with balloons, banners and other decorations providing no Sellotape is used on any of the painted walls.
- No decorations with candles or naked flames are permitted.
- Helium balloons must be properly weighted due to the high ceilings within the Town Hall.
PARKING
- Parking for the Town Hall is the Lord Hill Car park which is situated diagonally adjacent to the front of the building behind the ‘Jewel in the Crown’ restaurant.
- There is one disabled parking bay at the venue, anyone using this space must display an in date blue badge.
- Parking at the venue is for one car only for the purpose of loading and unloading prior and post event.
SMOKING
- No smoking is permitted anywhere within the premises. A designated smoking area is located outside at the top of the car park by the community garden entrance.
- The use of electronic cigarettes in the building is strictly prohibited.
NOISE
- Windows and doors must be kept closed during the event
- Noise from a DJ/Entertainer must be kept within reasonable limits throughout the event.
- Details of the DJ/Entertainer must be provided to Claire Morris at least one week before the event.
- Failure to comply with reasonable noise limits will result in termination of the event, the DJ/Entertainer will be asked a maximum of 3 times to reduce noise levels and failure to comply will result in the power being cut.
HEALTH & SAFETY
- Maximum capacity of the town hall – 220 standing and 150 sitting (depending on nature of the booking and is entirely at the Town Hall’s discretion). This includes members of staff, performers, caterers etc
- Fire exits and extinguishers to be kept clear and visible at all times, if guests are blocking the exits, they will be asked to move. Failure to comply will result in a breach of these terms & conditions and risk termination of the event.
- The hirer must familiarise themselves with the Fire evacuation procedure and emergency exits in case of a fire.
- No smoking is permitted anywhere within the premises. A designated smoking area is located outside at the top of the car park by the community garden entrance.
- The hirer is responsible for the behaviour and conduct of people attending the event. Dawley Town Hall reserves the right to terminate the event if the conduct and behaviour is deemed to be unacceptable.
OPENING AND CLOSING OF THE TOWN HALL
- The Town Hall will be opened and closed by either a member of staff or the caretaker. Please ensure guests are aware of these times, people cannot enter before or leave after the agreed times.
- If access times have been agreed with a caretaker then these times must be met, anyone arriving more than 15 minutes after the agreed time will incur further charges. The building is not to be left empty at any time.
SECURITY
- Dawley Town Hall accepts no responsibility for the property of any persons organising or attending events at the Town Hall. Any property brought on to the premises or left in the car park is done entirely at the owner’s risk.
END OF HIRE
- Hirer is to be responsible for leaving the premises and surrounding area in a tidy and acceptable condition and that any contents temporarily removed from their usual positions are properly replaced.
